Overview

A comprehensive recruitment management platform that helps HR teams and hiring managers coordinate, track, and manage the entire hiring process, from candidate sourcing to final approval.
The system provides a unified view of open positions, candidate progress, and team activity, improving efficiency, collaboration, and decision-making.

The challenge

The challenge was to design a centralized, cloud-based system that connects all stakeholders, simplifies daily workflows, and ensures that no candidate falls through the cracks.

Research & Insights

To define the system’s structure and priorities, I conducted user interviews with recruiters, hiring managers, and HR analysts.
Key insights included:

  • Recruiters needed a quick overview of hiring progress without navigating multiple tabs.

  • Managers wanted clear visibility and reminders for pending approvals or interview feedback.

  • Collaboration between HR and departments required real-time updates and shared access to candidate data.

  • The process had to balance efficiency for recruiters and accountability for decision-makers.

These insights guided the UX strategy toward a data-driven, modular, and transparent workflow.

UX / UI Process

  1. User Flows & IA: Defined clear flows for candidate tracking, interview scheduling, and internal approvals.

  2. Wireframing & Prototyping: Built low-fidelity prototypes to explore dashboard layouts and interaction patterns for both HR and management roles.

  3. Visual Design: The final interface emphasizes clarity and action, with color-coded candidate statuses, progress bars, and quick-action shortcuts. The cloud-based design ensures accessibility across devices.

Solution

The final system enables users to:

  • Manage all recruitment stages from one centralized dashboard

  • Assign tasks, schedule interviews, and track approvals in real time

  • Receive smart alerts for overdue stages or unapproved steps

  • Use AI-driven matching to highlight the most relevant candidates

  • Generate reports and analytics on hiring trends, time-to-hire, and recruitment bottlenecks

  • Collaborate easily across HR, management, and department heads
