Training Management System

Overview

A tablet-based system designed for shift supervisors at the IAA to manage employee scheduling and training assignments. The platform provides a real-time overview of available staff, upcoming training sessions, and overall compliance, ensuring that all employees complete required courses efficiently and on time.

The challenge

Before the system was introduced, supervisors coordinated employee training manually through spreadsheets and emails. This process was time-consuming and prone to human error,  leading to double bookings, missed sessions, and a lack of visibility into training progress.
The challenge was to design a digital solution that simplifies scheduling, reduces administrative overhead, and provides a clear, real-time view of all training-related activities.

Research & Insights

To better understand the supervisors’ daily workflow, we conducted contextual interviews and on-site observations at the airport.
We identified key pain points:

  • Limited time and constant movement during shifts (requiring a mobile-first, tablet-friendly design)

  • Frequent schedule changes and last-minute updates

  • Difficulty tracking which employees completed or missed training sessions

  • Need for quick access to employee profiles and training history

These findings shaped the user experience strategy, focusing on speed, clarity, and accessibility in high-pressure environments.

UX / UI Process

  1. User Flows & Information Architecture: Defined clear paths for assigning trainings, reviewing schedules, and approving changes with minimal steps.

  2. Wireframing & Prototyping: Created low-fidelity prototypes for tablet use, testing navigation patterns and visual hierarchy with real supervisors.

  3. Usability Testing: Iterative testing revealed the need for large touch targets, quick filtering options, and color-coded indicators for session status.

  4. Visual Design: The final UI uses a clean, structured layout with a focus on readability and quick scanning, supporting the supervisor’s decision-making in real time.

Solution

The final system enables supervisors to:

  • Assign employees to training sessions directly from their shift dashboard

  • Track attendance and completion status

  • Receive automated reminders for overdue or missing trainings

  • Instantly identify schedule conflicts or unassigned roles

Impact

The new digital platform significantly reduced scheduling errors and improved communication between departments. Supervisors now manage all training operations from a single interface, saving time and ensuring full compliance with safety and regulatory requirements.
